This page is maintained by PassFrame to explain how we handle your personal data and photographs. PassFrame is an independent photo-preparation service and is not affiliated with any government or issuing authority.

We collect only what is needed to prepare your photo and deliver your order: your account details, order metadata, uploaded and generated photographs, and payment references.

What we collect

  • Account information: email address and authentication details when you sign in.
  • Photos and order data: uploaded source photos, generated framed photos, compliance reports, and the document requirements you selected.
  • Payment references: transaction IDs from our payment providers. We do not store full card numbers.
  • Usage data: anonymous error and usage data to help us keep the service running smoothly.

How we use your data

  • To crop, frame, and validate your photos against the selected document requirements.
  • To generate and deliver the framed photo, print sheet, and compliance report.
  • To process payments and keep records of your orders.
  • To respond to support requests and process refunds.

Storage and security

Photographs are encrypted in transit and at rest. Access is limited to automated systems and authorized support staff who need it to resolve an issue. We use industry-standard hosting and security practices.

Retention and deletion

You choose your own retention period during checkout: 24 hours, 7 days, or 30 days. Download links expire automatically, and photos are permanently deleted after the chosen period. You can also request early deletion at any time from your dashboard or by contacting support.

AI and training

Your photos are never used to train AI models. We do not share your photographs with third-party AI services except for the limited purpose of the specific PassFrame feature you are using (such as background removal or face-position validation), and only under strict data-processing terms.

We use essential cookies to keep you signed in and remember your session. We may use privacy-respecting analytics to understand how the site is used. You can read more in our cookie policy.

Your rights

You can request access to your data, correct inaccurate information, or ask us to delete your account and photos at any time. To make a request, contact us through the Help centre.
